The best booking system for a coach depends on one question: does your client pick a time, or just pay? If they pick a time, the setup we would start with is a booking app built on Base44 Free, with Make sending the confirmation, the calendar event and the spreadsheet row. If they pay for a package, a retainer or a workshop seat, sell it as a product on Shopify Basic and let inventory count your slots. We built all three ourselves, logged every credit, and bought no plan to do it.

What this list is based on
Three builds we ran, on our own accounts, between 14 and 23 September 2026:
- A booking app for an invented solo consultant on Base44 Free, ten sessions, 22 measured bookings. The full build is in our no-code booking app guide.
- A booking confirmation automation on Make Free, built twice, once from a Google Sheet and once from a webhook. The full test, with Zapier beside it, is in our Make vs Zapier free plan comparison.
- A paid session sold as a product on our own Shopify Basic store, written up in can you sell services on Shopify.
That is the whole list, and it is short on purpose. Our testing method only lets us rank what we built. Calendly, Acuity and the other booking-first tools are not here because we have not built with them, not because we think they lose. Plan prices are the vendors' own and carry the date we read them.
1. Clients pick a time: a booking app on Base44 Free
Pick it if your clients book a slot from your availability, sign in to see their bookings, and fill in an intake form before the first session. That is a small client portal, and Base44 built one for us from a single plain-English prompt.
What we measured. The first prompt produced a public services page with three priced sessions, client sign-up and login, weekly availability, an intake form with file upload and an admin dashboard. It cost 4.81 of the 25 message credits Free gives each month. Across 22 bookings, no slot was ever taken twice, including by two clients in separate accounts, and every signed-up client got a confirmation email, within about five seconds when we timed it.
The per-booking math. Running the app does not touch the message credits. Each booking with its confirmation email used 2.03 of the 100 integration credits Free gives each month, and a brand-new client (intake with upload, booking, email) used 4.04. So Free covers about 49 bookings, or about 24 new clients, a month. A coach doing 20 sessions a month uses about 41 of the 100.
Where free stops, in our build:
- The 24-hour reminder the AI built for 1.60 credits never ran. Base44's Workflows tab says scheduled automations need the Builder plan or higher.
- The $50 deposit button confirmed bookings without taking any money.
- A lead who had not signed up was told to check an inbox that never got an email. That needs a paid plan and a verified custom domain.
- Your own domain, a private app and removing the Base44 badge are all marked Starter and above.
The plan you end up on. Base44's pricing page (read 14 September 2026) lists Starter at $20 a month ($16 billed yearly) and Builder at $50 a month ($40 yearly). Starter is the step for a coach who wants the app on their own domain without the badge. Builder is the step for reminders, but read the next section before paying $50 for them.
25 message credits and 100 integration credits a month, no card. Write your requirement list before the first prompt.
2. The emails and calendar events: Make, whatever takes the booking
Pick it if bookings already reach you somewhere (a form, a spreadsheet, an app) and the work you want gone is what comes after: the confirmation email, the calendar event, the row in your sheet.
What we measured. On Make's free plan we built a four-step flow: a new booking row in Google Sheets, a Gmail confirmation, a Google Calendar event and the row marked "Confirmed". One run turned all four green and cost 4 credits, one per step. Then we built the faster version, a webhook: Make gives you a URL that receives a booking the moment something sends it. Our test booking reached the inbox 3 seconds later, for 2 credits, and the webhook cost nothing while it waited.
The per-booking math. Free gives 1,000 credits a month. At 4 credits for the full flow that is about 250 bookings a month, or 500 if you only send the email. A coach doing 20 sessions a month uses 80. Avoid the scheduled trigger that checks a sheet every 15 minutes: it cost 1 credit per check even when there was no booking, about 2,880 credits a month for nothing.
Where free stops. Not at the credits, for a coach. At the third automation: when we switched on a third scenario, Make refused with "Maximum number of active scenarios has been exceeded - Payment Required." Confirmation, a follow-up and a new-lead alert are already three.
The plan you end up on. Core, $10.59 a month or $9 billed yearly, for 10,000 credits and unlimited active scenarios (our account's plan screen, 16 September 2026, and Make's pricing page as cited in our Make Core pricing guide). That is about a fifth of Base44's Builder plan, which is what Base44 asks for scheduled automations of its own.

Two honest limits. We have not yet connected our Base44 app to the Make webhook, so the two halves of pick 1 and pick 2 are measured separately, not end to end. And we have not built a reminder in Make, so we make no claim that Make fixes the reminder Base44 Free could not send.
3. Clients pay for a package or a seat: Shopify Basic
Pick it if your client does not choose a time on the spot: a fixed-price package, a monthly retainer, a paid discovery session you schedule by email, a workshop seat on a date you already announced. Then what you need is a checkout, and a store is the fastest one.
What we measured. On our own Shopify Basic store we created a 60-minute consultation at $120 in about ninety seconds. The one change that makes it a service is switching off Physical product in the Shipping section: the whole shipping block disappears and the customer is not asked for a delivery address. Inventory stays on, and that is the useful part. We set the quantity to 8, so the store sells eight sessions and stops at the ninth, with no calendar and no app.
What it does not do. Shopify books no time. There is no availability, no time slots and no reminders, so the order confirmation has to carry your next step: your scheduling link, your phone number, a reply within a day. It also filed our consultation as Uncategorized, while it categorised both physical products on its own. We have not processed a service order end to end, because our store has no payment provider set up.
The per-session math. Shopify's pricing page (read 24 September 2026) lists 3 days free, then $1 a month for 3 months, then Basic at $39 a month or $29 billed yearly. Eight sessions at $120 is $960 a month; at $39, the plan costs $4.88 per session sold. If Shopify Payments is not offered where you are registered (it is not offered to our store in Israel), Basic adds a 2% fee on other payment providers: $19.20 on that $960. What a 20-session month costs on each setup
Our arithmetic, from the measured costs above, for a coach taking 20 bookings a month:

So for most coaches the first real bill is not the booking itself. It is your own domain on the app, a third automation on Make, or the Shopify plan once the $1 months end.
Who should skip each one
- Skip Base44 Free if reminders must go out from day one and you will not pay for them. The reminder it built for us never ran, and nothing on the owner's screen said so.
- Skip the combined Base44 plus Make setup for now if you need it proven end to end. We measured each half, not the connection.
- Skip Shopify if your client must choose a time and pay in the same step. Shopify sells the session, not the slot.
- Skip all three if you need the time, the payment and the reminders in one tool today: none of our builds did all three on its own, and we have not tested a tool that does.

How to pick in five minutes
- Write down whether your client picks a time. If not, you are selling a product: start on Shopify.
- If they do, count your sessions a month. Under about 49 bookings, Base44 Free runs the app; above that, or when you want your own domain, budget Starter.
- List the messages you send after a booking. Up to two automations fit Make Free. The third is the Core plan.
- Test as a stranger before you share the link. Open your app in a browser that has never logged in, book a slot and check the email in a real inbox. That is how we found every problem above.

Frequently asked questions
What is the best booking system for a coach on a budget?
In our builds, a Base44 Free booking app handled about 49 bookings a month on its 100 free integration credits (2.03 per booking, measured September 2026). It will not send reminders on Free: Base44 lists scheduled automations on the Builder plan, $50 a month on its pricing page (14 September 2026).
Can a coach take bookings for free?
Yes, within limits we measured. Base44 Free ran our booking app at $0 for 22 bookings, and Make Free sent each confirmation for 2 to 4 of its 1,000 monthly credits. Reminders, deposits and your own domain were the parts that needed a paid plan.
Can I use Shopify to book coaching sessions?
You can sell sessions, not time slots. Switching off Physical product turns a product into a service, and inventory can cap the number of sessions (we set 8). Shopify has no calendar, availability or reminders, so the time is agreed after the order.
How do I send booking confirmations and calendar events automatically?
We built it on Make Free with a webhook: the confirmation reached the inbox 3 seconds after the booking, for 2 credits. Adding a Google Calendar event and a sheet update made it 4 credits per booking, so 1,000 free credits cover about 250 bookings a month (18 September 2026).
When does a coach need to pay for Make?
In our test, at the third automation, not the credits. Make Free refused a third active scenario with Payment Required. Core was $10.59 a month, or $9 billed yearly, for 10,000 credits and unlimited scenarios (our plan screen, 16 September 2026).
How much does Shopify cost for selling coaching packages?
Shopify listed 3 days free, then $1 a month for 3 months, then Basic at $39 a month or $29 billed yearly (shopify.com/pricing, 24 September 2026). Selling a service adds nothing to that. Without Shopify Payments, Basic adds a 2% fee on other payment providers.
